The fields that actually matter
An invoice needs to answer four questions instantly, without the client hunting: who's billing whom, what for, how much, and by when. That means: your business name and contact, the client's name, a clear line-item description, the total due, and an explicit due date. Vague line items ("services rendered") are a common cause of a client pausing to ask questions instead of paying.

"Payment due within 30 days" requires the reader to do maths from an ambiguous starting point. Write the actual date: "Due by 8 August 2026." It removes any excuse for confusion and is the single easiest change that speeds up payment.
Number your invoices — and never reuse a number
A consistent scheme like INV-2026-014 makes invoices easy to reference in emails and easy for you to track for bookkeeping. Reusing or skipping numbers looks disorganised and can complicate tax records later.
Send it promptly, and follow up before it's late
Invoices sent immediately after work is completed get paid faster than ones that trickle in weeks later — the request feels connected to the work, not like an afterthought. A brief, friendly reminder two or three days before the due date (not after) also measurably reduces late payments; it's a nudge, not a complaint.
Make the total impossible to miss
Bury the total in a wall of line items and someone will need to search for it. Put the final amount due in large, bold text, ideally near the top or clearly set apart at the bottom — not sandwiched between smaller numbers.
